Abstract Submission Guidelines

Abstracts will be announced on Friday, August 2, 2024

Abstracts should be submitted to uchicagocellulartherapy@uchicagomedicine.org

 
    • The first author listed for each abstract serves as the presenting author and is the primary contact for all correspondence regarding the abstract.

    • The presenting author is responsible for the following:

      • Ensuring that all authors have read the abstract and agreed to be co-authors.

      • Making certain that abstracts are complete (tables included and labeled) and written in clear, concise and grammatically correct English, so that reviewers are able to focus solely on the scientific merits of the submission.

    • Oral and Poster presentations:

      • There will be approximately 6 abstracts selected for oral presentations during the meeting. Additional abstracts will be presented during the poster viewing session.

      • If your abstract is accepted for oral presentation, you will be required to submit your slides for review by your session moderators before the meeting.

    • Character Count: There is a limit of 3000 characters for the body of the abstract (not including spaces). Note that the abstract title, tables, or figures are not included in the character count.

    • Font: Arial; font size: 11

    • Multiple Abstracts: There are no restrictions on the number of abstracts you may submit, or the number abstracts that you may present.

    • Attached Figure: You may include up to 3 figures or images total with your abstract - all figures and images must have titles. Words in that image or figure are not deducted from the total character count.

    • Notification: Decisions on abstract acceptance /rejection will be communicated by August 2, 2024. Notification will be sent by e-mail to the presenting author listed on each abstract.

    • Abstract Corrections: All changes/edits to submitted abstracts are strictly the responsibility of the first author and must be communicated to uchicagocellulartherapy@uchicagomedicine.org via email no later than Friday, September 13, 2024.

    • Abstract Withdrawal: Abstract withdrawals must be made, in writing only, to uchicagocellulartherapy@uchicagomedicine.org no later than Friday, September 6, 2024.

  • Structure is permitted, but not required: Introduction, Methods, Results, Conclusions

    • Multiple paragraphs are permitted

    • Do not use bold or underline formatting; italics are permitted

    • Use numerals to indicate numbers unless they are at the beginning of a sentence

    • References are to be cited within the text, not as footnotes

    • Figures and Tables are not included in the text count and must be submitted as separate files.

    • Should objectively describe the study

    • Should be in sentence case

    • Should use generic rather than proprietary drug names

    • Should not allude to a result or conclusion of the study

    • All oral abstract presentations are 10 minutes long, followed by a 5-minute discussion. Please do not exceed the time limit because it will reduce your discussion period and/or lead to your presentation being stopped before its conclusion.

    • All slides should be prepared using PowerPoint in wide screen (16:9) format.

    • Please include a disclosure slide in your PowerPoint presentation.

    • You should make every effort to avoid detailed tables and cluttered diagrams. Your purpose--to communicate new information in a brief amount of time--is best served by devoting thought to the quality and quantity of your slides.

    • Please be clear and concise, and remember that many audience members may be unfamiliar with much of the data presented. Therefore, an introduction, including background and rationale for your work as well as its relevance to the field of cellular therapy, should be included.

    • Format of poster is LANDSCAPE (horizontal).

    • Place heading in large-sized type at the top of the board.

    • List the title and all authors.

    • All material should be readable from distances of three feet or more.

    • You are strongly encouraged to use typeface that is at least 3/8″ high (22 pt. minimum).

    • Use bold type to ensure legibility.

    • Charts, drawings, and illustrations should be similar to those you would use in making PowerPoint slides.

    • If photographs are used, have them processed with a matte or dull finish for printed posters.

    • Please include your email address so that attendees can follow up with you on any questions related to your poster.

    • Printing and shipping of your poster should be arranged independently. The conference organizers will not be responsible for receiving, storing, or displaying any posters on-site.

    • Posters will be on display during the entire satellite symposium and again displayed during the cocktail hour occurring from 4:50PM-6:00PM CST following the main Jonas Center Cellular Therapy Symposium on Friday, September 20.

    • Please plan to hang your poster Thursday, September 19 by 12:00PM CST. The symposium organizers will store your poster(s) and then redisplay them during the cocktail hour (4:50PM-6:00PM) following the main Jonas Symposium on September 20. Please plan to remove your poster by Friday, September 20 at 6:00PM CST. Posters not removed by 6:00PM CST on 9/20/2024 will be discarded.

    • Presenting authors are strongly encouraged to be present during the times that their poster is on display.

    • Push pins will be provided by symposium organizer
